The software development arm of RSK Project Services has developed the first online timesheet system specifically designed for the recruitment industry.
Tailored to recruitment-agency requirements, the remotely accessible system eases the logistical headache of managing the contractor placement cycle, and markedly improves the efficiency and accuracy of data collation.
Through a user-friendly interface, the system enables agencies to consign paper timesheets to the past and manage previously arduous tasks such as creating multiple rates, submitting timesheets directly to clients for approval and undertaking accurate client invoicing at the click of a mouse button.
Other attractive functionalities include having multiple ëapprovers' per contractor, worldwide currency support, FAX-back functionality to maintain signed copies of timesheets and automated email notification.
The system also comes with a fully integrated expense module.
To keep things simple and confidential, a secure login ensures that contractors and clients only see the information that is relevant to them. Recruitment agencies have full administrative privileges to grant or revoke system access to any user.
One of the timesheet's main selling points is that it makes life easier for clients.
With 24/7 access to the data, via the Internet, they can get a transparent overview of contractor activity and can run a series of summarising reports (including, among others, invoices, and cost-charge and timesheet status) and can generate associated statistics.
As the only product of its kind specifically developed using the Microsoft dotNET Framework, the timesheet system is uniquely scalable and future-proof. For example, it is compatible with third-party systems such as payroll or recruitment software and can incorporate modular functionalities based on consultation with RSK Project Services.
RSK Project Services project implementation manager Praveen Joshi said: Time is money in the recruitment industry. Our timesheet system makes things easier for everyone involved in the recruitment process. The recruitment agency saves a significant amount of time through the data being more accurate and manageable - the client loves its transparency, and the contractors benefit from being able to submit their timesheets online
RSK Project Services' recruitment timesheet is based on a highly successful version used by businesses such as Network Rail and National Grid.
Trevor Jones, National Grid project resources manager, uses the online timesheet for the ongoing development of UK's only fully functional, modern liquid natural gas importation facility at the Isle of Grain, said:
On a project the size of ours, there are a number of variables to consider and they have to be accounted for. RSK Project Services' timesheet allows us to break costs down so we can understand them. It is user-friendly and saves us an inordinate amount of time; it's an efficient way of working.
Network Rail signalling risk control co-ordinator, Darren Cottrell, who used the timesheet during a major signal risk-assessment project in London's North West region, said:
The online timesheet made understanding the spend and progress against the budget not only a simple process, but offered much needed project detail at the touch of a button. The timesheet was a very beneficial addition to the project and proved to be a very capable tool.
