Tonbridge and Malling Housing Association, along with its subsidiary Invicta Lifeline, is implementing PayGlobal single database software to streamline its HR, Payroll and Time & Attendance processes after a long, careful search of the marketplace. Tonbridge and Malling Housing Association (TMHA) employs around 250 people and is one of the largest providers of social housing in Kent. It also owns Invicta Lifeline a UK-wide, 24 hour alarm service for the elderly and vulnerable.
Frances Hobson, Head of Personnel for TMHA, says, ìHR and payroll are run as different operations and this has previously resulted in a great deal of work duplication. Two different teams use the same data but we input information into different systems. We are hoping the new PayGlobal system will reduce our paperwork and thoroughly streamline our processes because of its single database.
ìWeíve been searching the marketplace for some time to ensure that we transform a highly reliable, but administration-heavy HR, payroll and time and attendance process into one that is simple to use. We spoke to many HR and Payroll providers who said they could add a Time and Attendance software module from another supplier, but we didnít want that. We wanted the whole system to work from a single database.î
The Time & Attendance element is important for TMHAís subsidiary, Invicta Lifeline. The company has expanded from 12 staff to 90 because technology has made it possible for Invicta to deal with contracts all over the UK. Hobson explains, ìIf an elderly or vulnerable person pushes their alarm in South Cambridgeshire, for instance, Invicta will respond and send help immediately. Staff traditionally fill-in time sheets, so the new Time & Attendance system is a big culture change that is considered positive by employees ñ anything that cuts down daily paperwork is goodî. PayGlobalís software will work with access control systems and data capture devices from Romsey Associates.
