Doctrina provides Reed Executive with electronic document storage

Reed Executive, the high street recruitment company, has bought an electronic document storage and print merge facility from Doctrina. The contract is a significant sale for Doctrina, which develops customised data capture systems.

Under the deal, Reed buys Doctrinaís edoPrint and edoStore systems. edoPrint is a print management module that helps make it easy to merge-print supporting documents from accounting systems such as invoices, statements and credit notes. edoStore is an electronic filing system that works with most existing technology.

Before buying the Doctrina system, Reed was outsourcing these functions. By bringing functions in-house, Reed will expect to make substantial cost savings as well as take control of the process. ìOne of the key objectives was to remove as much manual intervention as possible. We hope much of the weekly invoice generation will now be automated,î comments the Reed spokesman, adding: ìBecause of its previous experience within the recruitment industry Doctrina was able to understand our needs and objectives. The off-the-shelf systems Doctrina supplies are able to meet our needs with minimal bespoke development.î

The Doctrina applications are used mainly by recruitment and temp agencies. Doctrina calculates its system could pay for itself within 12 months, giving savings on labour and time. The ability to process 1,000 or more time sheets ó automatically calculating hours worked and payment ó as well as the ability to merge timesheet with the payment or invoice documents saves valuable time. Once a paper or electronic image is scanned into edoStore, it can be searched for using a range of criteria as well as called up on a computer screen to be emailed, faxed or merged into a printed document. Users of the Doctrina systems at present process between 1,000 and 50,000 timesheets a week.
