How HR Teams Can Export Excel Stats to an Image

Most of the time, HR teams work extensively with data such as attendance reports, salary records, increment details and so on. This information is typically stored in Excel files for easy editing and accessibility.

However, there are situations where the higher management or stakeholders request quick insights.

In such cases, presenting the entire spreadsheet is not the most effective approach. It requires them to first download the file, format it properly (if required), and then go through the data to find the required information.

To avoid such hassles, HR professionals can export the Excel stats as clear images to quickly deliver insights. This can be easily done using multiple methods. In this blog post, we will discuss 3 practical methods, along with step by step instructions and visual demonstrations.

3 Methods for Seamlessly Exporting Important Excel Data as an Image

Here are three methods you can consider to get the data export job done.

  1. Use Excel’s “Copy as Picture” Feature

First of all, you can use the built-in feature of Excel to export essential HR-related data as an image. The feature is known as “Copy as Picture.” The procedure is very simple and straightforward.

Here is how this can be done.

  • Open the required Excel file.

  • Now, select the rows and columns that you want to export into an image. Check the screenshot below to get a better idea.

  • Next, click the “Home” tab and look for the “Copy” option icon. Once found, click on it, and a drop-down menu will appear displaying two options: “Copy” and “Copy as Picture”. Select the second one.

  • After choosing “Copy as a Picture,” a new box will appear asking you to select the appearance and format of the picture. You should choose appearance as “As shown on screen” and format as “Picture.”

  • Click the “Ok” button to get the job done.

That’s it, the selected stats from the Excel file are copied to your device’s clipboard as “Picture.” You can paste and send it to anyone through email or direct message.

  1. Use a dedicated Excel to Image Converter

Thanks to the advancements in technology, there are numerous specialized Excel to image converters available online. These are designed to quickly convert a spreadsheet into a clear and high-resolution picture in no time.

You can pick and use any tool based on your personal preferences. However, we personally recommend looking for one that has a good ranking and allows processing multiple Excel files at once.

One such tool that we found consistent and reliable during our testing is the converter by Jpgtotext.com (https://www.jpgtotext.com/excel-to-jpg), which efficiently converts Excel sheets into images in no time.

Now let’s find out what it takes to convert Excel stats into an image.

  • Simply visit the converter and upload the required Excel file from the local storage.

  • Next, choose the conversion quality: High, Medium, or Low quality. We’ll go with High. Then, hit the “Convert Now” button to start.

  • Within a matter of seconds, the converter will come up with the exported image file. You can either view the image or download it for later use. Here’s how the tool responded to our entered file:

This is usually considered a more reliable conversion method, as most Excel to Image converters allow processing multiple Excel files at once.

  1. Use the PrtScr Command

Last but not least, you can also use the print screen method to turn Excel data into an image. The print screen command is a built-in feature available in the Windows operating system used to capture screenshots.

Here are the steps you need to follow in this method:

  • Open the required Excel file on your computer.

  • Find and press the “PrtScr” button on the keyboard. Alternatively, you can also press the “Windows + Shift + S” button at the same time to initiate screenshot capturing.

  • After pressing, your screen will become light-dark, meaning you can simply select the area that you want to cover in the screenshot/picture.

  • When the area is selected, it will automatically be copied to your device’s clipboard as a “Picture.” So, you can use and send it quickly.

These are three methods that HRs can use to export Excel stats into an image for easy sharing with stakeholders.

Ending Notes

HR professionals usually store important data like salary, attendance, etc., in an Excel file for easy editing, formatting, and accessibility. However, when they come across the need to share insights with higher management, it is good to export data as an image.

This is because sharing an entire file will require the receiver to download it, format the cells (if required), and then review the stats. However, this isn’t the case with an image. In this blog post, we have discussed three methods for seamlessly exporting Excel stats as an image. HRs can use any one that best suits their requirements.
