SaveTrees Online Timesheets was founded to take traditionally paper-based business processes online, starting with timesheets. Having both been contractors, we knew first-hand how clunky most systems felt from the user side, so we built something clean, simple, and easy for everyone involved.

Today, SaveTrees Online Timesheets is used by recruitment agencies and businesses across the UK to capture worker hours accurately, reduce admin, and cut down on costly payroll errors. Agencies get pay-as-you-go pricing with no long contracts, and free, human support from the people who built the system.

We’re proudly climate-positive: for every active customer, we plant at least one tree per month. To date, we’ve planted over 5,000 trees. And because we believe in giving back, SaveTrees is completely free for registered charities.

SaveTrees was founded in 2013 to take traditionally paper-based business processes online, starting with timesheets. Having both been contractors, we knew first-hand how clunky most systems felt from the user side, so we built something clean, simple, and easy for everyone involved.

Today, SaveTrees is used by recruitment agencies and businesses across the UK to capture worker hours and expenses, get them approved and bill for them, with less admin and fewer costly payroll errors. Agencies get a fully branded portal with their own logo and colours, flexible templates, automatic reminders and PDF copies, all on any device with no app to install.

Expenses, your way. Workers can add mileage and receipts directly to their timesheet, or send them separately as a standalone expense claim, including workers who only ever claim expenses. They snap a receipt and SaveTrees reads the amount, VAT and vendor from it, or enter a journey and the distance is measured on a map. Authorisers approve claims just as they do timesheets.

Connects to Xero. Tick the approved timesheets and expenses you want to bill, and SaveTrees groups them by client and creates draft invoices in your own Xero organisation, with the timesheet PDFs and receipts attached. You review and send them from Xero as normal, and SaveTrees keeps track of what has been billed, so the same work isn't invoiced twice.

SSO and MFA as standard. People can sign in with their Google or Microsoft accounts, and connecting your Microsoft directory or Google Workspace domain lets you require work-account sign-in for admins. You can also require multi-factor authentication for everyone on the account, set how often admins must sign in again, and limit admins to your own office network. A full audit trail shows who changed, sent and approved every timesheet, and when.

Your first worker is free, forever. Timesheets and Expenses are each priced on their own, and the first worker on each is completely free. After that, you only pay for workers who send something that month: £5 each for the next four, falling in bands to £1 as you grow (plus VAT). There are no premium tiers: every agency, whatever its size, gets all the features the big agencies get, at no extra cost. There are no long contracts or setup fees, and support from the people who built the system is free and human.
